SMART WORKFLOW AUTOMATION
Keep the next step moving between the tools you use.
Connect routine business tasks so information reaches the right system and the right person. I design clear workflows for forms, approvals, follow-up and reporting.
You work directly with me, Michael. Start with the handoffs that slow your team down. Use defined rules for predictable work and add AI only where a specific task benefits from it.

JOIN UP THE EVERYDAY WORK
Fewer repeated steps. A clearer record of what happens next.
A useful workflow has a trigger, rules and an outcome. I agree who owns the process and what happens when information is incomplete or a connected service is unavailable.
Form-to-system connections
Send agreed form details to a suitable CRM, spreadsheet or task system, with validation and duplicate-handling rules suited to the process.
Approval routes
Prepare a request for the right reviewer, record the decision and continue only when the necessary approval has been given.
Customer onboarding
Coordinate agreed welcome messages, internal tasks and missing-information requests after a new enquiry or customer record is accepted.
Order & service updates
Connect supported shop or booking events to appropriate internal tasks and customer updates, with the right checks before information is sent.
Scheduled reporting
Collect selected information on an agreed schedule, prepare a consistent report and send it to the people who need to review it.
Exception queues
Identify failed steps, missing fields or records that need attention, then give your team a usable route to investigate and continue the work.
n8n is part of my working toolkit. Depending on the existing setup, I can also assess Make, Zapier or Microsoft Power Automate and supported connections to tools such as Google Workspace, HubSpot and Shopify. OpenAI, ElevenLabs, Twilio or Higgsfield are considered only where their role is relevant.
BUILD THE PROCESS PEOPLE CAN FOLLOW
Make the rules and responsibilities visible.
01
Walk through the current task
Identify the trigger, manual steps, people, systems and exceptions. Agree what should improve and how to assess the result.
02
Design the handoffs
Define field mapping, validation, permissions, approvals and failure handling. Confirm the supported integrations and any new provider costs.
03
Connect & test
Build the agreed workflow and test normal, duplicate, incomplete and failed cases before introducing it into the working process.
04
Document & hand over
Explain the workflow, its owner and how to review or resolve exceptions. Agree any ongoing monitoring and maintenance separately.
For example, an accepted quote request might create a CRM entry and an internal follow-up task after required fields are checked. The actual systems, sequence and allowed actions are defined for your business.
SCOPE THE CONNECTIONS BEFORE BUILDING
A clear quote for a defined workflow.
The work depends on the number of steps, systems, permissions, exceptions and testing requirements. A focused first workflow can be delivered before considering the next one.

WORKFLOW AUTOMATION QUESTIONS
Understand what will run and who stays in control.
Does a smart workflow always need AI?
No. Many valuable workflows use ordinary triggers, rules and integrations. AI is considered for a specific need such as preparing a summary or draft; predictable steps can remain rule-based.
Can you connect tools I already use?
I check their supported integrations, API access, account permissions and data requirements. The proposal confirms which connections are practical and whether any additional service is needed.
What happens when a connection fails?
The agreed design defines failure handling, alerts and the route to human review. I also consider retries and duplicate actions where relevant. A provider outage or changed API may require investigation or a maintenance update.
Can I approve steps before the workflow continues?
Yes, where the selected tools support the required approval design. I define the reviewer, permitted action and information needed for the decision, then test that sequence before launch.
Will automation change records or send messages automatically?
Only the actions included in the agreed scope should be enabled. I confirm the account permissions, checks and approval requirements for each action before connecting it to live records or customer communication.
Can I start small and add more later?
Yes. A focused first workflow gives your team something concrete to test and use. Further connections or processes can be quoted once the next requirement is clear.
START WITH THE NEXT MANUAL STEP
Where does your team copy, chase or re-enter the same information?
Tell me what starts the task, which tools it passes through and what should happen next. I will discuss a useful first connection.
