Platforms and tools selected for your project.

A USEFUL STARTING POINT

Start with the task your team repeats every day.

Copying information between systems. Answering the same questions. Preparing first drafts. Chasing missing details. Small, repeated jobs can take attention away from customers and more valuable work.

I map the task, understand the exceptions and decide which parts can be automated reliably. Sometimes a simple rules-based connection is the best answer. AI becomes useful where language, summarising or drafting needs to sit within that process.

WHERE I CAN HELP

Useful applications across your working day.

These are possible starting points, tailored to your business, your software and the information you can appropriately use.

Enquiries & customer communication

Organise incoming enquiries, collect essential details, draft replies and route requests to the right person, with review before sensitive or consequential messages are sent.

Internal knowledge assistants

Help staff find information in approved procedures, service notes or internal resources. Define the source material and a clear handover when an answer is uncertain.

Forms & document workflows

Move form submissions into your existing process, extract agreed fields, flag missing information and prepare a structured draft for a member of your team to check.

Content preparation

Create first drafts of articles, product descriptions, social posts or customer updates using your brief and brand guidance. Your team reviews facts, tone and publication.

Reporting & useful summaries

Bring selected business information together, prepare recurring summaries and highlight items for attention. Keep the underlying figures available for verification.

Connected business systems

Link suitable website, CRM, booking, email and other business tools through their supported integrations or APIs, reducing repeated manual data entry.

Choose an AI task with a clear business purpose

I focus on one practical task before adding more tools. I clarify with you what information arrives, which part AI can assist with and where a person should review or take over. A defined first workflow makes the proposed build easier to discuss and test.

THE RIGHT TOOLS, CONNECTED WITH PURPOSE

Tools selected for your workflow.

My working toolkit includes n8n, ElevenLabs, Twilio, OpenAI and Higgsfield. I choose the combination around the task: connecting systems, preparing useful answers, handling calls and messages, or creating content your team can review.

n8n | Workflow automation

Connect forms, email, CRM records and reporting in a defined sequence. Use triggers, rules and API connections to move information between systems, with review points where people need to approve the next step.

ElevenLabs | Voice & conversational assistants

Create spoken content or a voice assistant for approved service information, enquiry collection and call handling. Define its role, knowledge and route back to your team before it speaks to customers.

Twilio | SMS, WhatsApp & phone workflows

Build confirmations, reminders, enquiry conversations and voice call flows into your business process. I plan the channel setup, messaging permissions and human handover around your requirements.

OpenAI | Assistants, content & structured information

Prepare response and content drafts, summarise documents, organise incoming information or build assistants using approved business knowledge. Connect suitable tools and retain human review for decisions and publication.

Higgsfield | Website & shop visuals

Develop visual concepts, product imagery and short visual content for your website or online shop. Review the results for brand fit and accuracy before publication.

Your existing tools | Suitable integrations

Where appropriate, options include Make, Zapier or Microsoft Power Automate, plus connections to Google Workspace, HubSpot and Shopify through supported integrations or APIs. I assess the fit with your existing accounts and process before proposing them.

The final scope sets out the selected services, account access, usage costs, data handling and approval steps. Tools are chosen for the job; every project does not need every platform.

AN ILLUSTRATIVE WORKFLOW

From a new enquiry to a prepared response.

A simple example of how automation and human review can work together. The exact steps would be designed around your business.

01

Capture

A website form collects the information needed to understand the enquiry and passes it into the agreed workflow.

02

Prepare

The workflow organises the details, checks required fields and uses approved service information to draft an appropriate response.

03

Review

A member of your team checks the details, confirms any judgement or quotation and approves the next action.

04

Record & follow up

The approved outcome is recorded in the appropriate system, with a follow-up task or message where required.

This describes a possible workflow, rather than a claim about a named client or a guaranteed result.

ASSISTANTS WITH A CLEAR ROLE

Help people find the next useful answer.

A business assistant works best when its purpose is specific. It might explain your services, help staff locate a procedure or collect the information needed before a customer speaks to your team.

I define what it can use, what it should answer and where it should hand over. If your workflow needs to create bookings, change records or send messages, those actions are scoped with suitable permissions and checks.

CLINICS & SERVICE BUSINESSES

Support the administration around your service.

For clinics and other appointment-based businesses, I can explore administrative workflows that help staff organise information and respond consistently.

General service information

Help visitors find approved information about services, opening hours, locations and how to contact or book with your team.

Enquiry preparation

Collect agreed contact and administrative details, identify the relevant service and prepare a clear summary for staff review.

Staff workflows

Organise routine requests, internal tasks and administrative templates, with appropriate access to the information each role needs.

Clinic projects focus on administration and approved general information. Clinical advice, diagnosis, triage and treatment decisions remain with qualified professionals. Sensitive information, access and service-provider choices need to be considered before an integration is agreed.

HOW I BUILD THE RIGHT SOLUTION

Understand it. Test it. Put it to work.

01

Map the current process

I discuss the goal, people, systems, information and exceptions. Together I choose a focused first workflow.

02

Plan the solution

I agree the tools, integrations, review points, costs and boundaries. The proposal explains the scope and any third-party subscriptions or usage charges.

03

Build & test

I connect the agreed systems and test realistic examples, including incomplete requests, unexpected inputs and service failures.

04

Train & improve

Your team receives the agreed handover and guidance. I review the workflow against its purpose and discuss any further changes or ongoing support.

CONTROL IS PART OF THE DESIGN

Clear checks make automation more useful.

AI-generated output can be incomplete or wrong. The workflow should account for that from the beginning, with checks proportionate to what it is being asked to do.

Human approval

Decide which outputs are drafts, who checks them and which actions require approval before they happen.

Appropriate access

Identify the information and permissions the workflow needs. Consider data handling and connected providers before sharing business or personal information.

A route for exceptions

Define what happens when a service is unavailable, a request is unclear or a task cannot be completed. Give your team a way to take over.

Costs & maintenance

Understand subscription and usage costs, review the integration as services change, and agree the level of support and maintenance required.

YOUR QUESTIONS, ANSWERED

AI for business questions.

No. Start by explaining the task, the problem and the systems your team already uses. I can then recommend a suitable approach and explain where AI is useful, where ordinary automation is enough and where a person should stay involved.

Often, yes. I check the available integrations, API access, account permissions and data requirements. The proposed solution depends on what those systems support and the access you can provide.

For a suitably defined task, an assistant may be configured to respond using approved information. I agree its boundaries, review requirements and handover route. Sensitive requests and decisions that need judgement should be escalated to your team.

I can explore non-clinical administration, general service information and staff workflows. I do not position a business assistant as a substitute for professional medical judgement. The information involved and any sensitive-data requirements must be assessed before implementation.

That depends on the tools, accounts, settings and data flows involved. I identify the proposed providers, access requirements and handling arrangements so these can be reviewed before the solution is agreed. I do not assume every AI service is suitable for every type of information.

I quote individually after understanding the workflow, systems and scope. The proposal separates implementation from any agreed ongoing support and explains relevant third-party subscriptions or usage costs.

Yes. A focused first project makes it easier to test the approach, train your team and assess the result before extending it to other parts of the business.

LET'S FIND A USEFUL FIRST STEP

Which task would you like your team to spend less time on?

Bring me one repetitive process, a customer-service challenge or an idea you would like to test. I will discuss what is practical and outline a clear next step.
